Requests are scattered across channels
A client writes in a messenger, continues by email, and the next step stays in someone's head — days later the history has to be reconstructed by hand.
AxiDora Studio · business process automation and AI systems
We start with how the work actually runs: where time, context and the next step get lost. Then we choose the smallest sufficient solution — from a simple integration or an automated workflow to an AI system, when one is genuinely warranted.
We don't add AI for the sake of AI. We build a manageable system around the real work.

If the task is better solved a simpler way, we'll say so.
01 · The problem
Automation usually becomes necessary not because “it's time to adopt AI”, but because the work keeps losing time, context or control.
A client writes in a messenger, continues by email, and the next step stays in someone's head — days later the history has to be reconstructed by hand.
Copy, check, forward, notify, update the status, check again — a person becomes the connective tissue between systems.
Context, rules and decisions live in the head of the owner or the specialist. To move the process forward, that same person is needed again.
The information exists, but it is spread across chats, files and services. Finding it and restoring the context becomes a job of its own.
A CRM, Telegram, email, spreadsheets, AI services and cloud documents can all exist at once — and still not form a manageable system.
When an automation fails or an external service doesn't respond, you need to know what has already run, what hasn't, and which next step is safe.
Our job is to see the whole process first. Only then decide what in it is actually worth automating.
02 · What we automate
We don't sell one universal “AI product”. We start from a specific piece of work that needs to become more reliable, faster or less dependent on manual repetition.
Bring incoming messages from different channels together, keep the contact history, record the status and the next step, support qualification and follow-up — without losing context between Telegram, email, a CRM and other channels.
Connect research, drafting, editing, approval, handover for publication and content reuse into a single process with clear points of human control.
Automate data transfer, notifications, recurring checks, status changes, document preparation and other stable actions across the services you already use.
Help an employee or an expert find the right information, gather context from approved sources and prepare answers, documents and working materials without constant manual searching.
When a simple scenario is no longer enough: the work needs accumulated context, knowledge, tools, multi-step tasks, follow-up and defined limits on independent action.
Not sure which category your task belongs to? That's normal — that's what the Fit Check is for.
03 · Approach
The most expensive mistake is automating in a complex way something that could have been simplified first. So we work from the simplest solution upwards, not the other way round.
Sometimes the problem disappears once the process itself changes.
If the cause is inconsistent action, automation may be premature.
If an existing SaaS already solves the task well, there is no point building your own just to build something.
When the logic is stable, deterministic automation is often more reliable and cheaper than a complex AI setup.
When off-the-shelf capability isn't enough, or the process needs tighter control.
When the value comes from understanding text, classification, generation, analysis or work with unstructured information.
When the work genuinely needs long-running context, knowledge, tools, multi-step reasoning, tasks and managed continuity.
The winner is the simplest option that solves the task reliably and keeps the result under control.
04 · What we build
05 · How we work
We briefly examine the problem, the boundary of the process and the outcome you want. The goal is to see whether there is any basis for a full automation project.
The Fit Check may simply conclude that automation isn't needed right now, that an existing service is enough, or that the process itself should change first.
Note: The Fit Check does not include a full AS-IS/TO-BE map, architecture, a technical specification or a detailed implementation estimate.
If the task passes the initial check, we study the process in more depth: the current state, the target process, requirements, data, integrations, risks, acceptance criteria and the implementation approach.
The result is a design foundation you can make an informed implementation decision on, instead of starting development from guesswork.
We build the approved, bounded scope, verify both technical behaviour and fit with the business task, and hand the result over with clear rules for operation and acceptance.
If the system needs monitoring, further development, support or AI agents running on a regular basis, that is set up as a separate arrangement — not as endless free rework of the project.
You can stop after the Fit Check. Moving on to the paid Blueprint is not required.
06 · Evidence
AxiDora is at an early stage of going to market. So we don't portray a scale we don't have yet, and we keep client evidence, our own use of the method and engineering capability clearly apart.
A live client trial uses a setup that helps prepare content and organise the production process. The decision to publish stays with a person; the system is refined based on real feedback.
AxiDora applies its own method to itself: from the business brief and technical specification through to client operations, multi-channel intake, the pipeline, error control and the economics of the work.
07 · AI assistants
An ordinary workflow executes known rules well. But part of professional work requires context, knowledge and a sequence of decisions. In those tasks a professional AI assistant can be justified.
What separates a professional assistant from a standalone chatbot
The work draws not only on the last message, but on the permitted history, the current task and the state of the process.
The assistant receives the material it needs from defined sources instead of guessing at company truth.
It can act in connected systems within the permissions it has been granted.
A task may involve research, preparing the result, checking it, waiting for a reply and continuing later.
Work doesn't have to disappear when a single chat or session ends.
Sensitive actions, external commitments and important decisions can stay with a person.
We treat an AI agent as a performer inside the process, not as a replacement for the process itself.
08 · Control and reliability
A good demo shows that a scenario worked once. A working system also has to hold state, surface errors and resume safely after a failure.
For work that matters, it must be visible what happened, where the process stands and which next step is expected.
We design so that a failure leaves an observable trace and has a clear path to inspection or recovery.
Where a mistake could change a commitment, money, a publication or an important client action, autonomy has to be limited for that task.
State, documents, decisions and the next step are recorded where they can be recovered.
New channels, performers and services should plug into a clear process model rather than create a parallel reality of their own.
09 · Good fit / not yet
The Fit Check exists precisely to tell a real automation project apart from a task that is better left uncomplicated.
10 · FAQ
11 · Next step
There's no need to work out a technical solution in advance. Describe the task in your own words: what repeats, where time or context is lost, and what you'd like to change.
In the free Fit Check we'll establish whether there is a basis for automation here, and which next step actually makes sense.
