Not every task needs AI

The most expensive mistake is automating in a complex way something that could have been simplified first. So we work from the simplest solution upwards, not the other way round.

Step 1 · free

Task check
Automation Fit Check

We briefly examine the problem, the boundary of the process and the outcome you want. The goal is to see whether there is any basis for a full automation project.

The Fit Check may simply conclude that automation isn't needed right now, that an existing service is enough, or that the process itself should change first.

Note: The Fit Check does not include a full AS-IS/TO-BE map, architecture, a technical specification or a detailed implementation estimate.

Step 2 · paid

Design
Automation Blueprint

If the task passes the initial check, we study the process in more depth: the current state, the target process, requirements, data, integrations, risks, acceptance criteria and the implementation approach.

The result is a design foundation you can make an informed implementation decision on, instead of starting development from guesswork.

Step 3

Implementation and handover

We build the approved, bounded scope, verify both technical behaviour and fit with the business task, and hand the result over with clear rules for operation and acceptance.

Step 4 · separate

Ongoing support

If the system needs monitoring, further development, support or AI agents running on a regular basis, that is set up as a separate arrangement — not as endless free rework of the project.

You can stop after the Fit Check. Moving on to the paid Blueprint is not required.

Not promises — verifiable kinds of work

AxiDora is at an early stage of going to market. So we don't portray a scale we don't have yet, and we keep client evidence, our own use of the method and engineering capability clearly apart.

When ordinary automation is no longer enough

An ordinary workflow executes known rules well. But part of professional work requires context, knowledge and a sequence of decisions. In those tasks a professional AI assistant can be justified.

What separates a professional assistant from a standalone chatbot

Context

The work draws not only on the last message, but on the permitted history, the current task and the state of the process.

Knowledge and documents

The assistant receives the material it needs from defined sources instead of guessing at company truth.

Tools

It can act in connected systems within the permissions it has been granted.

Multi-step work

A task may involve research, preparing the result, checking it, waiting for a reply and continuing later.

Tasks and follow-up

Work doesn't have to disappear when a single chat or session ends.

Limits of autonomy

Sensitive actions, external commitments and important decisions can stay with a person.

We treat an AI agent as a performer inside the process, not as a replacement for the process itself.

Automation should be manageable, not merely “smart”

A good demo shows that a scenario worked once. A working system also has to hold state, surface errors and resume safely after a failure.

Visible state

For work that matters, it must be visible what happened, where the process stands and which next step is expected.

No silent failures as the norm

We design so that a failure leaves an observable trace and has a clear path to inspection or recovery.

A person stays at the decision points that matter

Where a mistake could change a commitment, money, a publication or an important client action, autonomy has to be limited for that task.

Context shouldn't live only in someone's head

State, documents, decisions and the next step are recorded where they can be recovered.

The system can grow without breaking its business meaning

New channels, performers and services should plug into a clear process model rather than create a parallel reality of their own.

09 · Good fit / not yet

When it makes sense to start a conversation with AxiDora

A good candidate for a Fit Check

  • repetitive work regularly eats up time;
  • requests, documents or context pass through several channels and services;
  • there are manual handoffs, repeated checks and constant follow-up;
  • the quality of the process depends too much on one person's memory;
  • an error or a delay creates a noticeable problem;
  • you're ready to show how the work runs today, not only to describe the “AI agent” you'd like.

Perhaps a different step comes first

  • the task is one-off and unlikely to repeat;
  • the process doesn't exist yet, so there is nothing to automate;
  • the problem can simply be removed or solved with an existing service;
  • the goal is “AI because AI”, with no working outcome defined;
  • there is no way to identify the process owner or the criterion for what “better” means.

The Fit Check exists precisely to tell a real automation project apart from a task that is better left uncomplicated.

10 · FAQ

Common questions before the first review

Do I need to know in advance what to automate?
No. It's enough to show the repetitive work, the problem or the part of the process that consumes time and attention. In the Fit Check we work out together whether there is an automation task here at all.
Do you always propose AI?
No. AI is only one level of solution. Sometimes it's better to change the process, use an existing service or build an ordinary deterministic integration.
What does the free Automation Fit Check include?
A short initial review: what happens today, where the problem sits, what outcome is needed and whether it makes sense to move to full design work. The Fit Check does not include a detailed AS-IS/TO-BE map, architecture, a technical specification or a full implementation estimate.
How is the Automation Blueprint different from an ordinary call?
The Blueprint is a separate, paid design stage. It turns a conversation about the problem into a recorded process model, requirements, target logic, a technical specification, acceptance criteria and a basis for estimating implementation.
Can you work with the services we already use?
That's usually the first thing to check. We look at the existing process and toolset, then decide what is worth keeping, connecting, replacing or leaving alone.
Can we start with just one process?
Yes. For a first automation, a bounded process is usually more useful than trying to rebuild the whole company at once.
What happens after the Fit Check?
If the task is suitable for further design, the next step is the paid Automation Blueprint. If it isn't, you can stop there or choose a simpler solution.
Who makes the important decisions — a person or the AI?
That is decided per process. Repeatable, safe actions can be automated further; sensitive decisions, commitments and external actions stay with a person wherever that is necessary.
What happens if the automation gets it wrong or an external service is unavailable?
We design for those cases: important errors have to be visible, retries have to be controlled, and the state of the process has to be verifiable before it continues.
Can we add WhatsApp, Instagram, other messengers or new processes later?
Yes, if the original setup is designed around clear channels, events and business states. The specific integration method depends on the available APIs and each service's rules at the time of connection.
